Senior Administrative AssistantWork Mode: OnsiteLocation:
Kohler, WI OpportunityReporting to the VP/GM Service Businesses,
the Sr.Administrative Assistant will perform administrative
dutiesof both confidential and general nature for the VP/GM Service
Businesses. Preparecorrespondence, memorandums, and reports,
requiring individual initiative andresponsibility; assist in the
research, analysis of trends, expense andstatistical reporting.
Requires broad knowledge of Company's enterprisestructure and key
stakeholders. Maintain records and files and perform
otheradministrative duties as required and requested. Schedule
travel, appointmentsand meetings, manage calendars, travel &
expense administration, createreports and communications. Screen
calls, emails, mail and visitors; route andresolve information
requests. Coordinates space and office organization, andspecial
projects. Specific ResponsibilitiesSet up appointment schedules and
keep appointment calendars in order. Process and appropriately
route telephone calls, interoffice mail, external correspondence,
and electronic mail. Manage internal and external group lists and
the vacation calendars of the Services Team.Function as the
intermediary between the Kohler Services staff as well as other
company personnel, answering routine questions, setting up
appointments, scheduling meetings, etc.Assist in the tracking
process of Maximizing Performance Evaluations and quintile reviews
ensuring that deadlines are met on a timely basis.Analyze reports
and bring to the attention of the VP/GM trends and variances from
objectives.Maintain confidential records and files.Schedule
international and domestic travel arrangements to include ground
and air transportation, hotel accommodations, and event
scheduling.Assemble and submit Expense Reports for the VP/GM and
Business Associate Directors.Review and approve Expense Reports for
staff members reporting to the VP/GM.Create Purchase Orders for
business purchasing for office including marketing, sales tools,
office needs, suppliers, etc.Produce, assemble, and format key
documents for Financial Plan, Strategic Plan, and other leadership
meetings.Aid in creating and editing PowerPoint presentations.
Coordinating work across team members for presentations, materials
for deadlines.Maintain records on approved and pending ACTs
(Authorized Corporate Transaction).Coordinate and administer
resources: Mobile phone accounts, leases (vehicles, equipment),
computer/IT, network and phone systems, coordination of large-scale
printing and/or promotional needs, etc.Liaise with Kohler vendors
to resolve issues.Manage office purchases (supplies, business
machines, cleaning, water cooler, etc.)Additional responsibilities
as assigned by VP/GM. Skills/RequirementsHigh school diploma
required, associate or bachelor's degree a plus. 3-5+ years
administrative experience.Requires strong computer skills,
flexibility, project-coordinationexperience, excellent
interpersonal skills and the ability to work well withall levels of
internal and external contacts. Proficiency in Microsoft Word,
PowerPoint, Outlook, and Excel, along with good keyboarding skills
is required. Skills/Specialties include Administration, Event
Planning,Executive Support, Scheduling, Travel Administration,
Travel Planning. Strongcomputer skills, flexibility, project
coordination experience, excellentinterpersonal skills and the
ability to work well with all levels of internaland external
contacts. Team player witha strong service orientation and customer
focus is a must. Requires an individual who is
professional,maintains confidentiality, has a high energy level,
and has demonstrated initiativeand multi-tasking ability. Ability
tonavigate and create/print reports from a variety of sources. The
successful candidate must be able to meetgoals and objectives with
minimal supervision.Must pass the following LTC Microsoft Suite
Assessments:Word (advanced), Excel (Intermediate), PowerPoint
