Job Description:
JOB SUMMARYReceptionists are the first line of communication
between a participant and provider. Under direction of Business
Office Management and Receptionist Lead, reception performs a
variety of tasks. This may include updating and maintaining records
by getting the appropriate information from the program
participants and providers scanning medical records, Insurance
eligibilities. Being skilled in computer software, such as excel
spreadsheets, word processing and other programs relative to the
Agency is also necessary to perform the required tasks. This
position is considered a crucial link between patients, staff, and
providers. Receptionists must portray excellent communication and
customer service skills, as well as be able to multitask,
prioritize, and stay organized.ESSENTIAL DUTIES AND
RESPONSIBILITIES/ SUPERVISORY RESPONSIBILITIES:Greets all patients
arriving to our facility in a friendly and professional manner,
including staff, patients, vendors, providers, and community
membersCollecting required documents from patients during check
inDaily appointment check in and registration of all guests and
patientsAbility to adapt and to be flexible to cover multiple
reception areas within the agency, and provide service where
appropriate/necessaryCollecting, updating and maintaining
demographic information, insurance information, and any other
necessary personal informationMust have basic knowledge of
InsurancesEntering and verifying of insurancesPerforms prior
authorizations for required insurancesSchedules, reschedules,
cancels appointments accordinglyMakes confirmation calls for all
scheduled appointments, conducts patient call backs, mailing out no
show letters, and checks voicemail throughout the dayCollaborates
with clinical staff to efficiently manage daily provider schedules,
and assists with accommodating walk in patients or same day
appointmentsPerforms data entry of insurance information and
processes patient payments and co-paymentsComplies with HIPAA,
IHC's, and privacy rulesUses efficient and clear communication at
all timesRequests medical records from outside Healthcare
facilitiesMaintains and organizes filing systems and is
knowledgeable in the operation of office equipment and software
programsAttends and participates in all departmental
meetingsMaintains upkeep of all front desk forms and paperwork.
Keeps a clean, clutter free work area at all timesParticipates as a
productive representative of the Patient Centered Medical
HomeObtains reason for call and transfer appropriatelyImplements
timely responses to all incoming calls and orderly scheduling of
patient appointmentsBe aware of urgency of the call so that
emergencies are handled appropriatelyOversees clinical tracking
duties assigned to receptionistsReceive and record messages for
staff according to telephone protocolAttend and receive the
necessary trainings for the agency's data system (RPMS) and
scheduling system (BMW)Must sign and honor agency confidentiality
statement regarding both patient's and agency
informationQUALIFICATIONS:To perform this job successfully, an
individual must be able to perform each essential duty

effectively communicate in English - written and verbal.Bi-lingual
is a plus.High school graduate or GED required.Prefer candidate
must have one year certificate from college or technical school
and/or two years Ambulatory clinic experience and/or training; or
equivalent combination of education and
experience.SKILLS:Experience in a medical clinic front office.Able
to communicate with the public effectively and tactfully.Experience
in handling multiple telephone calls.Able to follow written and
verbal instructions.Able to work with professional and
para-professional staff.Ability to add, subtract, multiply, and
divide in all unites of measure, using whole numbers, common
fractions, and decimals; and has ability to compute rate, ratio,
and percent and to draw and interpret bar graphs.Ability to apply
common sense understanding to carry out detailed but involved
written and/or oral instructions, and has ability to deal with
problems involving a few concrete variables in standardized
situations.Candidate must be proficient in computer usage and
capable of learning other software. Microsoft Outlook and knowledge
of spreadsheet/word processing is required.OTHER SIGNIFICANT

Specific vision abilities required by this job include close
vision, distance vision, peripheral vision, depth perception and
the ability to adjust focus. Noise level in the work environment is
usually quiet.Work is performed in an office environment utilizing
various office equipment including, but not limited to, a computer,
copy machine, fax machine, and multi-line phone. Ability to
communicate effectively over the telephone, by computer and in
person. Ability to perform well in a fast paced work
