As a member of our administrative support team, you ll be a valued member of the team as you assist with big picture as well as day-to-day support. You may provide support to engineering, safety, operations, finance, supply chain, sales, R&D, marketing or other functions within the company. This role will support our Human Resources, International and IT teams. The teams this role supports may change due to the needs of the organization.As the objective of the Administrative Team is to provide superlative support to internal customers, this position is primarily on-site; however, we offer schedule flexibility and some limited remote work options. Responsibilities: As a key Administrative Assistant, you will add value to the organization by developing and enhancing processes and procedures for your customers and the multiple cross-functional teams this position supports. As the primary meeting and event planner for your teams, you will lead the planning and execution for the International Business Unit meeting by managing event budgets, gaining alignment on agendas, negotiating contracts, reserving venues, arranging catering, securing teambuilding activities, preparing and consolidating presentations, and communicating information to teams. You will also plan and coordinate various team meetings and events throughout the year. Schedule and maintain meetings from leadership teams
calendars via Outlook.
Schedule and organize on-site and off-site activities such as meetings, meals, travel, and conferences for teams.
Provide backup to switchboard/receptionist on a rotating schedule (breaks, lunches, vacations). Manage and submit purchase orders and invoices. Manage and submit customer expense reports using SAP Concur. Proficiency in Microsoft programs including Excel and SAP is helpful. Participate on project teams as needed. Assist with a large variety of miscellaneous tasks and projects for multiple teams.Education: High School Diploma required
Associate degree is preferredExperience: 3-5 years prior administrative experience required Complex event planning experience strongly preferred Skills and Competencies: Organized and detailed, yet flexible. Proven ability to evaluate problems and develop detailed plans to execute and resolve.
Excellent knowledge of Word, Excel and PowerPoint (graphing, presentation building and spreadsheet development). Excellent verbal and written communication skills, including great phone presence. Demonstrated ability to take and publish clear, concise, and timely notes for multi-functional teams and project teams. Previous experience in negotiating contracts and agreements for meetings, events, and services. Proven ability to maintain confidentiality. Proven customer service background and the ability to work with a wide range of people and personalities. Proven ability to prioritize and manage workflow with frequent interruptions (time management). Must enjoy being challenged with a variety of activities and responsibilities.Date:
