General Pet SupplyDescription:Position Overview Responsible for promptly and efficiently answering incoming calls and performing various administrative functions for General Pet Supply. Assists the Human Resource Department in various areas including vacation schedules, reporting, employee onboarding. Will assist other departments with projects as needed. About UsGeneral Pet Supply is a division of Central Garden & Pet Company, a leading distribution company in the lawn and garden, and pet supply industries. We are a dynamic, growth-oriented distributor of pet food and supplies with operations based throughout the Midwest.ESSENTIAL RECEPTION FUNCTIONSAnswer incoming phone calls for General Pet Supply business units in a friendly manner and route them to the appropriate individual or department.Greet all visitors and guests of General Pet Supply in a friendly, courteous manner, determine their needs and direct them to the appropriate person Fax outgoing correspondence. Route all incoming faxes to the appropriate person or department.Post outgoing mail daily. This includes ensuring postage funds are available for mailings.Order office supplies on a weekly basis per the request of employee and department needs in the most cost-effective manner. Will match packing slip to invoice; code and approve invoice; forward to accounting for payment. Order business cards and other supplies as needed for lunchroom, warehouse, paper, etc. Make maintenance phone calls (i.e. ice machine repairs, vending company, plumbing, etc.)Fold, stuff and mail customers statements on a monthly basis and assist with department mailings as needed. Ensure we have enough supplies to complete the mailing (window envelopes, return envelopes and postage).Stuff and mail weekly A/P checks, monthly statements, customer invoice copy, credit invoices, monthly fliers and miscellaneous mailings. Maintain fax machines and invoice printer (i.e. toner, paper).Maintain company calendar.Regular attendance.Onsite presence in Reception area. ESSENTIAL HUMAN RESOURCE FUNCTIONSEnter invoices into Laserfiche for payment once approved by management.Scanning to Laserfische including invoices and employee documents.Run MVRs for new hires, annually and as follow up to a drivers medical card recertification.Coordinate safety audits.Maintain Flex Schedule spreadsheet.Coordinate Birthday, Anniversary, Bereavement and Welcome activities for employees (includes cards, gifts, donations, name plates and signs).Respond to employment verifications for current and previous employees. Will send out employment verifications for WI Driver new hires.Update HRIS including new hires, forklift certification, training, discipline, drug screens.Assemble packets for new hires, newly eligible for benefits, benefits enrollments, open enrollment.Maintain spreadsheets and process reports. Includes running reports from HRIS (employee points, new hires, anniversarys, birthdays, photo opt out, medical card expiration, driver license expiration, forklift certification, car insurance), maintain mileage report, route delay report, clothing reports and temporary employee reports.Issue door badges and picture IDs for new hires.Assist with benefit enrollments. Includes preparing and distributing paperwork, tracking to verify acknowledgments are returned, maintain benefit carrier website as needed.Update time off requests into company calendar and our time sheet software (Novatime)..Requirements:QUALIFICATIONS/ EXPERIENCE REQUIREDA High School diploma or equivalent.2+ years of Administrative experience.Associates or bachelors degree in human resources preferred.Excellent computer skills including Microsoft Excel, Word and Powerpoint. Professional appearance and conduct.Excellent communication skills.Read, write and speak English.Maintain confidentiality.Possess strong interpersonal skills.
