Position Overview

The University Special Events Office is seeking an Event Planner to join our professional events team to work with sponsoring departments and/or organizations to support Marquette University's key event initiatives for the internal and external community. We are looking for a successful and enthusiastic event planner to produce high-quality events from conception through completion in a manner consistent with the University's Mission and global-minded vision. Within the first year of hire, the event planner will work under the mentorship of the Director.

Duties and Responsibilities

1. Develop and define event planning strategies with sponsoring departments/organizations to work effectively and efficiently to achieve event goals and timelines
2. Identify a cross-functional team of university and external resources that are needed to support and implement the event initiatives and goals
3. Proactively seek innovative solutions and identify event opportunities in order to offer the utmost resourceful proposals and ideas to improve event quality and services
4. Organize and facilitate all event details (site selection, logistics both on and off campus, catering, decor, AV, entertainment, transportation, invitations, programming, staffing, promotional materials, contracts, work with a multitude of vendors, etc.)
5. Create and manage budgets
6. Oversee event production onsite and manage event registration
7. Ensure compliance with insurance, legal, health and safety obligations
8. Proactively troubleshoot during the event planning process, on site and follow up
9. Manage multiple event projects simultaneously
10. Foster strong working relationships with all university departments and outside vendors
11. Event support for colleagues which includes a multitude of functions (proofing event materials, staffing registration, assisting with event set-up, etc.)
12. Create/design event materials and signage
13. Perform other duties and responsibilities as required, assigned, or requested.

Required Knowledge, Skills and Abilities

* High School Diploma required.
* 3 years of related experience.
* Strong organizational skills and superior attention to detail and knowledge of event protocol; proven ability to handle multiple projects while setting appropriate priorities
* Strong leadership and communication skills
* Professional event planning and event protocol expertise

* Must have the ability to create a budget. Requires vigilant monitoring of expenses throughout the planning process to adhere to established budgets; determine new and innovative ways to reduce costs associated with events
* Excellent verbal and written communication skills: Must effectively have the ability to listen to client needs and present ideas and solutions to their requirements as well as providing clear communication and direction in detailing event needs to all other associates
* Excellent interpersonal skills
* Ability to work under pressure while maintaining a professional and composed demeanor
* Ability to meet deadlines: Must have a strong track record in exercising sound, timely judgment; excellent short and long-range planning and organizational skills
* Must possess excellent problem-solving skills
* Must be able to work outside the standard 8:00 a.m. - 4:30 p.m. business hours for event related purposes, evening and weekend work required based on event needs; occasional travel

Preferred Knowledge, Skills and Abilities

* High energy, positive, professional attitude, pride in work
* Great team member; willingness to roll up your sleeves and help colleagues get the job done regardless of the task
* Proficiency in Microsoft Word, Excel, Microsoft Visio, PowerPoint and knowledge in EventBrite and MarqIt helpful. Knowledge of Ungerboeck Event Planning Software desired but not required
* Project management experience
* Driver's license preferred
