Purchasing Agent and Import Compliance Assistant

Job Description:

Duties and Responsibilities:

  • Complete and transmit purchase orders to vendors and perform MRP processing
  • Ensure purchasing documents are complete and accurate, including appropriate and reasonable terms and conditions
  • Request and review acknowledgements from vendors
  • Enter confirmations when a product is in-transit
  • Assist Accounting with invoicing issues
  • Assist warehouse with receiving issues
  • Process vendor invoices for direct shipments
  • Run the open order purchase report and follow-up on overdue items
  • Use effective communication skills to develop relationships with vendors
  • Evaluate vendors based on price, reliability, capability and previous transaction history
  • Create and maintain purchasing records in SAP
  • Review and adjust stock levels for items in the assigned MRP areas
  • Maintain Code-A shipment paperwork
  • Enter stock transfers
  • Answer inquiries from other internal departments
  • Research and respond to machine down requests
  • Perform other related duties as assigned
  • Process and send pre-alerts to the brokers for all daily incoming shipments.
  • Process Code-A shipment paperwork weekly
  • Process all international receiving documents from the warehouse.
  • Maintain all paper and electronic records for each customs entry so we are in compliance with federal regulations. (Transit files)
    • Includes going out to the broker websites to pull entry docs
    • Maintain government agency documents such as TSCA, FDA, EPA worksheets, Anti-dumping statements of non-reimbursement, etc. for all relevant products.
    • Audit, approve, and code for AP, all freight bills for incoming shipments.
    • Audit customs entries done by customs brokers.
    • Assist Import Supervisor with:
      • Working with customs brokers and CBP on any problems or issues.
      • Working with customer service when foreign customers have international trade issues.
      • Working with any SLNA employee with any import issues/questions.
      • Keeping abreast of all relevant federal regulations and changes to these regulations.Qualifications:To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.Math Ability:Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of plane and solid geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Reasoning Ability:Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.Computer Skills:To perform this job successfully, an individual should have knowledge of Microsoft Word; Microsoft Excel; SAP; internet software; Microsoft Access and Microsoft Outlook.Work Environment:The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.
